We are currently seeking a Senior Administrative Assistant to join us in our Montvale office.
Responsibilities: - Provide administrative support to multiple departments and levels within the Center for Learning and Development (CLD) - Provide back-up support to the Chief Talent and Development Officer - Schedule and coordinate on-site and off-site department meeting events and conference calls - Handle time and expense reporting for multiple directors and resolve Diners Club expense reconciliation issues - Manage department office supplies helping to ensure adequate and available inventory - Support the coordination of department internal office space moves and transfers - Make car, hotel and air travel arrangements for management staff - Handle cold calls from outside vendors and internal KPMG employees and route to the correct person/department in the CLD - Provide minimal program support: summarize evaluations, duplication of materials, CDs, etc. - Create MS PowerPoint presentations - Administrate and track departmental external vendor contracts from initiation to contract approval which includes direct contact with vendors, Legal, Firm Wide Security, and Insurance Management to resolve any problems, revise the contract agreement, and verify background clearance checks and/or insurance requirements - Support projects as requested - Maintain vendor invoice spreadsheet for cost tracking purposes - Process and code vendor invoices in the ePayables database - Process temporary contractor requests through firm-wide vendor system - Send out department wide e-mail notifications on various programs and support tools - Assist with integrating new departmental hires into the KPMG culture and CLD organization - Monitor the "United States-National Support Services CLD Shared" mailbox and handle internal learning and development requests accordingly Qualifications: - Four years of work experience in an administrative position - Able to effectively navigate a large, complex organization to get results - Strong interpersonal and communication skills - Able to interact with senior leadership and their support staff - Able to work independently, exhibiting excellent time management skills - Strong skills in managing heavy e-mail traffic in a responsive manner and in scheduling meetings and teleconferences in MS Outlook - Strong ability to multi-task on several projects at a time - Willingness to learn, grow and contribute to the success of the department - Possess strong attention to detail - Intermediate level proficiency in Microsoft Outlook, Word, Excel, and Powerpoint - Bachelors degree from an accredited college/university or equivalent experience
